ChronoTrack LIVE Registration platform VAT feature: Now collecting VAT in EU Registration Endurance Market

Hello valued ChronoTrack Event Organizers in the European Union-

—Effective Monday, April 1st, 2019 at 4:00 AM CEST (Sunday, March 31st, 2018 at 8:00 PM MT, for reference)—

You can now collect VAT through the ChronoTrack LIVE Registration platform in the European Union.

Value Added Tax (“VAT”) in the European Union (“EU”) is tax assessed on the supply of goods and services. Take a look at the official EU website to see if your event is located in one of the EU member states. This not only enables more comprehensive tax implementations, but also opens up our endurance event registration services on a global-scale!

What this means for you: You can now use ChronoTrack Live to charge VAT to your Athletes! Additional fields have been added in ChronoTrack Live to ensure these taxes can be charged (and reported) more functionally and with ease:

  • The Event Properties flow within Event Creation [Payments page]
  • The Custom Question – [Product page]

 

Features of our VAT INTEGRATION initial release:

  • VIES REGISTRY Validation
  • VAT EXEMPTION Status Enablement by your ChronoTrack LIVE Account Manager
  • Introduction of required input fields of Unit/Net Price, Gross Price, VAT FEE % across our REGISTRATION & CUSTOM PRODUCTS offering in CT LIVE ADMIN so you may be VAT TAX Compliant
  • Exclusive in “ATHLETE PAYS” ChronoTrack Processing fees setup- Introduction of required input field by you for the ChronoTrack Service Fee VAT % rate
  • Add additional organizer details in the field “ADDITIONAL ORG. INFO” so additional reporting details surrounding the Event Organizer may be present on the receipt Athlete’s receive [details here]
  • VAT REPORTING under your Fee Details and Net Due (create new ones to enable VAT reporting fields in these reports) in CT LIVE ADMIN). All applicable VAT fees will be credited to your NET DUE payment, and you are responsible for VAT Payments (*exclusions only apply to Netherlands based event organizers).
    • Payment Options:
      • EVENT PAYS: If your event is set to “Event Pay” (meaning your org will pay the CT processing fee), the CT Live processing service fee will not include VAT charges unless you are based in The Netherlands (based on Org location).
        • NOTE: If your event is set to “Event Pay”, you are responsible for pulling reports and issuing accurate payment to VAT for Registration and Custom Products.
      • ATHLETE PAYS: If your event is set to “Athlete Pay” (meaning your Athlete will pay the CT processing fee), you must assign the VAT % amount on CT Processing fee within CT Live. We recommend utilizing the same VAT % you apply to your Registration fee for consistency to your Athletes.
        • NOTE: If your event is set to “Athlete Pay”, you are responsible for pulling reports and issuing accurate payment to VAT for Registration, Custom Products and the VAT % on the CT Processing fee.
  • Athlete VAT continuity messaging around gross price, net price and VAT fees when applicable across the online registration process, registration checkout summary, confirmation email and receipt (with applicable translations).

POPULAR FAQs:

  1. Can I exempt Customers/Athletes from paying VAT? No. VAT Exemption isn’t available for ChronoTrack LIVE Registration commerce at this time.
  2. Can I have different VAT FEE PERCENTAGES (%) across my registration entries, custom products and when applicable – CT PROCESSING SERVICE FEE exposed to Athletes? Yes. It is the sole responsibility for Event Organizers setting up VAT to apply these VAT FEE PERCENTAGES accordingly (noting they may be different depending the good or service being provided.
  3. Can I charge Customers/Athletes, in different countries, a different VAT rate? No. The VAT PERCENTAGE FEE assigned by you in the registration, custom products and when applicable- CT PROCESSING SERVICE FEE will be universal and the same for all customers experiencing your event specific registration.
